Am I required to use Microsoft Exchange?

Microsoft Exchange is an alternative to our existing email system which is running sendmail on UNIX. Our current email system allows mail checking via Unix Pine, POP3, IMAP (Eudora, Outlook, Outlook Express,and Thunderbird) and Webmail interface. However, it does not offer collaboration tools and shared calendar features.

Exchange offers more collaborative features (shared calendars, public folders, shared contacts, etc...) than the existing Social Sciences e-mail system. Outlook 2003 or above and Windows Vista or Windows XP with Service Pack 2 are required. For Macintosh users, Apple 10.3 or above and Entourage 2004 or above are required for using SSC Exchange Server. Remote access to email can also be accomplished via the Outlook Web Access (OWA) interface.

Will I require a new email address to use Exchange?

No. Migrating to Exchange will not require a new email address, even if you use your BOL email as your primary email. If you utilize BOL as your primary email adddress, please mention that when you sign up for an Exchange account. To sign up for an Exchange account, please email exchange@ssc.ucla.edu

Will I need new software to use Exchange?

Social Sciences Exchange email accounts require Microsoft Outlook 2003 or 2007 and Windows Vista or Windows XP with Service pack 2. If you do not have this software, please contact your local department IT support staff.

Will Social Sciences provide software for people who wish to use Exchange?

No. Staff, faculty, and departments who wish to use Exchange will have to purchase any necessary software and hardware. Microsoft Outlook is included in the Microsoft Office software suite. Outlook can also be purchased as a separate software package.

Microsoft Office can be purchased at the UCLA store. Check the ASUCLA website for the latest pricing.

How will I access my Exchange account?

Social Sciences Computing offers three choices to access your exchange mail:

  • You can access your Exchange account using Microsoft Outlook or Entourage.
  • If you are away from your computer, you can access your email via Outlook Web Access (OWA) (https://exchange.ss.ucla.edu). OWA allows users to access email through a web browser (Internet Explorer 6 or higher is recommended for best results).
  • You can also access your Exchange e-mail through a mobile device. Please look at the SSC mobile site for a detailed explanation and restrictions.

Who is eligible for an Exchange account?

Anyone who currently has a Social Sciences email account or is eligible for one can request to have an SSC Exchange account created. Social Sciences limits e-mail accounts to staff and faculty within the Social Sciences division. Email accounts for undergraduate and graduate students are provided by Bruin Online.

How do I sign up for an Exchange e-mail account?

Please contact your department tech or call x62821 if you are interested in an Exchange email account.

If you are eligible, you will receive a confirmation email with setup instructions.

Is there a size limit for email that can be stored on the server?

Each user is allocated 1 GB of storage for their mailbox. At 800MB, you will receive an e-mail notification. When you receieve these notifiations, please contact your Dept tech or call x62821. If your mailbox reaches the 1GB limit, you will no longer be able to send or receive email. Please follow the directions here for instructions to move email from the server onto your local computer.

How do I setup Microsoft Exchange on Outlook after receiving a confirmation email?

Pre-requisites:

  • Your computer must be running Windows Vista or Windows XP with Service Pack 2
  • You have the Microsoft Outlook software CD and Product Key or already have the software installed.

I received an email notifying me that I am close to my reaching the size limit on the Exchange server, how do I minimize the size of my mailbox?

If you do not have an Archive Folder setup, then skip to 1.

If you have a Personal Folders mailbox or an Archive mailbox set up, then move emails from Mailbox-USERNAME to your Archive folder or to your Personal Folders. This will move email off of the server and onto your local computer. The Sent Items is typically large in size and you may want to move emails in the Sent Items.

1) In Outlook, select File - Archive.

2) In the Archive settings, highlight Mailbox - Username.

3) Choose an adequate date for archiving. Archiving will move email messages off the server and onto your local machine and select OK.

How do I change my Exchange password?

Changing passwords can only be done through Outlook Web Access.

Is my Exchange password the same as my webmail password?

No. When you first setup your Exchange email, you will have a chance to set your Exchange password. This will not change your webmail password. If you forgot your webmail password, you can change it here.

If I have check multiple emails on Outlook, will all accounts need to be on Exchange?

No. If you have multiple email accounts, choose where you would like all new mail to be delivered.

If all new mail is delivered to Mailbox-USERNAME, then all new mail will be synchronized to the server, meaning you will be able to access all new mail through Outlook Web Access and a mobile device if you have one. But if you have multiple email accounts, you may reach your quote of 1GB faster than if you were only checking one email account.

To check where new mail is delivered to, click on Tools - Email Accounts in Outlook.

On the Email Accounts box, click on Next.

On the next Email Accounts box, on the bottom, under "Deliver new mail to following location" select where you would like new mail to be delivered.

Can I use Outlook/Exchange in my office and POP/Eudora at my home?

This is not recommended because when you send email to other users on Exchange, it sends the email through local delivery. These emails will not be accessible through Eudora, only through Outlook, Outlook Web Access, and mobile devices. You can setup Outlook to access your email following the instructions here. If you do not have the Outlook software for your home computer, Social Sciences recommends Outlook Web Access.

Is there a size limit for email attachments?

Email attachments are limited to 25MB or less. This is enforced to reduce load on the server.

What is the maximum number of people I can send a message to?

The maximum number of recipients per email message is 50. Mailing lists count as one recipient. This is enforced to reduce load on the server.
